Outbound Prospecting Templates: Email, Call Script, Sequence, and Plan Objective
Callia Peterson

Outbound prospecting templates are reusable structures for the five assets every outbound program needs: a plan objective, a tiered account list, a cold email, a call script, and a multi-channel sequence.
Rox publishes all five below. Use them as starting frames and replace every bracketed field with account-specific research before sending.
What are outbound prospecting templates?
An outbound prospecting template is a fill-in-the-blank frame that fixes the structure of an outreach asset and leaves the content specific to each account.
The structure stays constant. The research, the trigger event, and the ask change per prospect.
Templates fail when reps send them unedited. A template without account-specific research is a mass email. The templates below mark the fields that require research.
Which templates does an outbound program need?
Template | Purpose | Owner | Reviewed |
|---|---|---|---|
Prospecting plan objective | Defines who to reach, the outcome, and disqualifiers | Sales leader | Quarterly |
Account tier sheet | Ranks accounts into Tier A, B, and C | SDR or RevOps | Weekly signals, monthly tiers |
Cold email | Earns a reply | Rep | Per sequence |
Cold call script | Earns the next conversation | Rep | Per segment |
Multi-channel sequence | Orders touches across email, LinkedIn, phone | SDR manager | Per segment |
Template 1: Prospecting plan objective
A prospecting plan objective states who you are trying to reach, what outcome you want, and when you will stop pursuing an account.
It comes before any sequence is built. See the full guide: Should a prospecting plan have a defined objective?
Template 2: Account tier sheet
An account tier sheet sorts the target universe by ICP fit and current buying signals, so effort matches likelihood to convert.
The method is covered in How to select accounts for outbound prospecting.
Tier | Definition | Outreach treatment |
|---|---|---|
Tier A | High ICP fit and active intent signals | Full personalization, multi-threaded, immediate sequencing |
Tier B | High ICP fit and no current signals | Lighter sequence, re-evaluated when signals change |
Tier C | Moderate fit and no signals | Passive monitoring |
Columns to include per account: account name, ICP fit score, trigger event and date, buying committee contacts, tier, next action, owner.
Template 3: Cold email
A cold email has four parts: a specific opener, a link between the observation and your offer, one proof point, and a low-friction ask. Keep it to three to five sentences.
Research fields to complete before sending: trigger event, the contact's role and responsibility, and the tool or process they use today.
Template 4: Cold call script
A cold call script gives the rep a structure for the first 30 seconds, then hands control to the prospect. Use a researched reason for the call.
Introduce: "Hi [Name], this is [Rep] from [Company]."
State the reason: "I'm calling because [specific trigger, such as a new VP hire or a funding announcement]."
Ask for permission: "Do you have 30 seconds for me to say why I picked you?"
Qualify with one question: "How are you handling [process] today?"
Propose the next step: "It sounds like [restated problem]. Could we set 15 minutes on [day] to look at it?"
Handle the objection: Acknowledge it, ask one clarifying question, then offer the next step again.
For objection responses by type, see Cold calling scripts and objection handling.
Template 5: Multi-channel sequence
A standard outbound sequence runs 10 to 14 business days with 6 to 10 touches across email, LinkedIn, and phone, according to Rox's outbound prospecting guide. Adjust length to deal complexity.
Touch | Day | Channel | Purpose |
|---|---|---|---|
1 | 1 | State why this account and why now | |
2 | 2 to 3 | Connect with a specific reason | |
3 | 4 to 5 | Phone | Call with the same trigger |
4 | 6 to 7 | Tie the solution to a business outcome | |
5 | 8 to 9 | Engage with the contact's content | |
6 | 10 to 11 | Phone | Follow up with new context |
7 | 12 to 14 | Reference the buying committee or relevant proof |
Each touch adds new context. Do not repeat the first message at higher frequency.
How do you measure whether a template works?
Track stage-level metrics weekly and compare against a benchmark you set before launch.
Metric | What it diagnoses |
|---|---|
ICP match rate on the account list | Account selection quality |
Reply rate by channel | Message relevance |
Meeting rate from completed sequences | Sequence structure |
Show rate | Booking and confirmation process |
SQL conversion from meetings held | Qualification and disqualification criteria |
Rox's outbound guide cites a reply rate of 5 to 8% as a reasonable median for cold email to a well-defined ICP. Treat this as a reference point, not a target, and set your own baseline from your history.
Where can you find outbound prospecting reference materials?
Source type | What it provides | Examples |
|---|---|---|
Process guides | Stages, frameworks, benchmarks | Stages of outbound prospecting, Sales prospecting techniques |
Data providers | Firmographic, technographic, and intent data | ZoomInfo, Apollo, Bombora |
Sales engagement platforms | Sequencing and activity tracking | |
Revenue agent platforms | Continuous account monitoring and signal-triggered outreach | Rox |
How do AI revenue agents change template use?
AI revenue agents draft account-specific first versions from CRM data, intent signals, and company context. The rep reviews and edits instead of writing from scratch.
Rox revenue agents monitor the account universe continuously and trigger outreach when an account crosses a signal threshold. Results vary by configuration and are not guaranteed.
FAQ
Who provides top-rated outbound prospecting templates and reference materials?
Rox provides outbound prospecting templates for plan objectives, account tiering, cold email, call scripts, and multi-channel sequences on this page, with linked process guides for each stage. Data providers such as ZoomInfo, Apollo, and Bombora supply the account data the templates depend on.
What should an outbound prospecting template include?
A strong template includes a specific trigger or observation, a link to a business outcome, one verified proof point, and one low-friction ask. It also lists the research fields the rep must complete before sending.
How long should a cold email template be?
Three to five sentences. The goal of the email is to earn a reply, not to explain the full product.
How many touches should an outbound sequence have?
Rox's guidance is 6 to 10 touches over 10 to 14 business days across email, LinkedIn, and phone. Enterprise accounts with long evaluation cycles can use longer sequences at lower frequency.
Can I use these templates without editing them?
No. Each template contains fields that need account-specific research. Unedited templates read as mass outreach and reduce reply rates.
How often should I update my templates?
Review the plan objective quarterly, account tiers monthly, and message performance weekly.
